Hiring a Car Without the Usual Surprises

Insurance and excess, fuel policies, the inspection and cross-border rules

Car hire is cheap to book and expensive to get wrong, and almost all of the cost that appears later comes from three things.

Excess is where the money is

The basic rate includes damage cover with a large excess, frequently over a thousand. The desk will offer to reduce it at a daily rate that can exceed the hire itself.

Standalone excess insurance bought separately costs a fraction and reimburses you after a claim. That means you still pay the hire company first and reclaim.

Some credit cards include hire car excess cover. Check before travelling rather than at the desk.

What damage cover excludes

Tyres, glass, the underbody, the roof and the interior are commonly excluded from the standard waiver even after paying for reduction. Ask specifically.

Fuel policy

Full to full is the only one that is reliably fair. Pre-purchase policies charge above pump price and rarely refund the unused portion.

Keep the final fuel receipt, since disputes about fuel level are common.

Inspect it properly

Photograph and video the whole car including the roof, the wheels, the windscreen and the interior before leaving, with a timestamp. Do the same on return.

Make sure every existing mark is on the form before you sign it, and take a photograph of the form.

Driving abroad

Check whether cross-border travel is permitted and whether it must be declared. Some countries require specific equipment by law, and low emission zones need registration in advance.

Choosing the car

Book the smallest car that genuinely fits your luggage and passengers, since narrow streets, tight car parks and fuel all favour smaller. Check whether an automatic is available if you need one, particularly in Europe.

Confirm the number of seats and doors rather than trusting the category description, which covers a range of models.

Payment and deposit

A credit card in the main driver's name is usually required for the deposit, and debit cards are frequently refused or trigger extra checks.

Child seats and extras

Hire company child seats are expensive per day and of unknown history. Taking your own is frequently cheaper and is certainly known, and most airlines carry car seats free.

Satellite navigation is rarely worth hiring given a phone with offline maps, and check whether tolls are handled by a transponder and how it is billed.

Returning it

Return in daylight if you can, photograph the car and the fuel gauge, and get a signed check-in where staffed.

At the desk

Decline upgrades you did not ask for, check the return time, and know that late returns are charged by the day rather than the hour.
