Car Hire: The Small Print That Costs You Money

Fuel policy, excess and under-25 fees decide the real price — not the headline rate

Car hire is the travel category with the widest gap between advertised price and final cost. A headline rate of twelve a day routinely becomes forty by the time you drive off the forecourt, and almost all of that difference is disclosed somewhere you did not read.

Fuel policy is the first filter

Full-to-full is the only policy worth accepting. You collect the car full and return it full, paying only for what you use. Every alternative — full-to-empty, pre-purchase, same-to-same — exists because it is more profitable for the supplier. Pre-purchase policies charge above pump price and refund nothing for what you leave in the tank.

Photograph the fuel gauge and the odometer at pickup and again at return. It takes ten seconds and ends any dispute immediately.

Understand the excess before the desk does

Standard hire comes with a damage excess that can run to well over a thousand. The desk will offer to reduce it for a daily fee, and that offer is always made at the moment you are least able to evaluate it. Decide in advance: either accept the excess, buy the supplier's waiver, or buy standalone excess insurance separately, which is usually a fraction of the desk price.

Standalone policies work by reimbursement, so you pay the supplier first and claim back. That is fine if you have the credit headroom and a problem if you do not. Know which applies to you before you travel.

Age, licence and cards

Drivers under twenty-five face a young-driver surcharge in almost every market, and some suppliers will not rent certain categories at all. Drivers over seventy face restrictions in some countries too. Both are disclosed in the terms rather than the price.

Most suppliers require a credit card in the main driver's name for the deposit hold. Debit cards are frequently refused, and this is the single most common reason people are turned away at a counter having already paid.

Cross-border and one-way charges

Taking a hire car across a national border is often permitted and almost always chargeable, and in some combinations it is prohibited outright. Declare the intention when booking rather than at the desk, since undeclared border crossings can void the insurance entirely.

One-way rentals, where you collect in one city and return in another, carry a drop-off fee that is sometimes larger than the rental itself. It is disclosed in the terms rather than the headline price, so check it before building an itinerary around it.

At the desk

Photograph every panel, all four wheels and the windscreen before leaving the bay, and make sure existing damage is recorded on the sheet. Two minutes there settles everything on return.
